How TutorCruncher, Teachworks, TutorBird, Oases, Wise and Docet handle multiple locations, billing and tutor pay, and which tutoring management software fits which center.

What to look for

Most tutoring software is built around one tutor or one studio. A center with several locations needs more, and the right choice depends on how your business runs.

  • Locations: can each director see only their own center?
  • Billing: do invoices build themselves from sessions, and can parents pay by card?
  • Tutor pay: are hours logged from completed sessions and exportable for payroll?
  • Pricing: does the bill grow with lessons, revenue, staff or branches?
  • Switching: will the vendor help move your students and families over?

Where Docet fits

Docet is organized as an organization, then locations, then directors scoped to their locations, then tutors, then parents. Invoices build from each period's sessions and send on your schedule, and completing a session logs the tutor's teaching time for approval and CSV export.

Docet calculates a retention risk score for every student from 30-day attendance, mastery trend, days inactive and overdue invoices. An at-risk dashboard puts the families most likely to leave in front of you, so you can call them before the cancellation email arrives.

  • Tutors dictate voice notes that Docet transcribes into session notes.
  • The attendance roster has a "Mark all present" shortcut.
  • Tutors rate each topic on a 1–5 mastery scale.
  • A completion checklist closes out each session.

Docet's AI drafts progress digests from session notes and mastery ratings. An owner or director approves every one before it sends, no child gets more than one per rolling 7 days, and AI stays off until the owner opts in.

Every Docet signup starts with a 14-day free trial, no credit card, and free guided setup: email us your student list and we import it for you.

Where other tools are ahead

Docet is newer and has no years of reviews to show. Several competitors advertise features Docet does not have yet:

  • Session and payment reminders by email, SMS or WhatsApp.
  • Two-way Google calendar sync. Docet offers a one-way calendar feed.
  • QuickBooks or Xero sync, and payslips for tutor pay.
  • Online booking from your website. Docet has an inquiry form that converts to a student in one click.

How to choose

Solo tutors and single studios are well served by TutorBird. If you need accounting sync or reminders today, look at TutorCruncher or Teachworks. If you run several centers and care about retention, location-scoped directors and flat pricing, try Docet.
